Getting started

Signing in

Open your organisation's zGentic address. Sign in with Google, or with the email address and password your administrator gave you. If your company uses Google Workspace, the Google button is the shortest route: your organisation is recognised from the domain of your email address.

Some people belong to more than one organisation. If you do, open the profile menu in the top-right corner and use the organisation switcher to move between them. Each organisation keeps its own chats, projects, files and settings. Nothing crosses from one to another.

If you signed your own organisation up, someone has to approve it before you can start. Until then you see a message saying your registration is waiting for approval. That is expected, not an error.

What is on the screen

  • Chat — where you write to the assistant. Your earlier chats are listed on the left.
  • Projects — shared workspaces. A project holds files, chats and results that a group of colleagues can all see.
  • Agents — helpers that you or your organisation have set up for a recurring job.
  • Tasks — work that takes several steps, while it is running, plus anything on a schedule.
  • History — a searchable record of everything you have asked.
  • Admin — settings for the whole organisation. Only owners and administrators see this tab. It is described in the owner and admin guide.

Your first chat

  1. Open Chat and click New chat.
  2. Write your question and press Send.
  3. A line with three pulsing dots says what is being done, for example "Looking in your documents". Then the answer is written out in front of you, word by word. Stop cancels it if you change your mind, and what was already written stays.
  4. If the question needs more than general knowledge, open the Tools sheet with the + button beside the message box. There you can let this chat read your uploaded documents, search the web, take more time over a hard question, or call in a helper.

The chat names itself from your first message. The pencil icon next to the name renames it.

Four habits that pay off

  • Attach the file instead of describing it. Drag a document or a photo into the chat. See Attachments and pictures.
  • Switch web search on when the answer has to be current — prices, news, this year's rules. The answer then comes with links you can open and check. See Web search.
  • Write down the things you will need again. /memory save … stores a short fact for this chat, for a project, or for you in every chat. See Memory and commands.
  • Move to a project as soon as a colleague is involved, so the files and the conversation stay in one place.

If something looks wrong

The Feedback tab in the lower-left corner sends a note to the people who run zGentic for you. Under every answer there is a thumbs-up and a thumbs-down. Those are recorded and read, so use them when an answer is wrong or unhelpful — it is the fastest route to getting it fixed.
